HR Administrative Assistant

Are you passionate about administration, and want to help change the world for our young people?  Covenant House Vancouver is seeking an Administrative Assistant for our Human Resources Department.  Reporting to the Director of HR, our Administrative Assistant manages all administrative functions for the HR Department.  Our department, consisting of 4 team members, supports about 200 employees and managers in all things HR: recruiting, benefits, total rewards, training and development, and performance management.  We work with all departments  across the agency and have a strong focus on providing excellent customer service.  Confidentiality, attention to detail, and positivity are other important priorities in our Human Resources department.  We are in the midst of some exciting projects in HR, and the agency is at the beginning of significant planned growth, making this an exciting time to join our team.

Primary Duties and Responsibilities: 
  • Maintain employee files, ensuring accordance with relevant legislation and policies
  • Assist the team with administrative and other tasks
  • Prepares payroll timesheets for HR team members
  • Assist with benefits administration
  • Coordinate and track all internal training offered by Covenant House
  • Coordinate in-house leadership development program
  • Coordinate employee recognition programs
  • Prepare weekly Staff Update and send to all employees
  • Coordinate candidate background check process
  • Open mail, order office supplies, and general office administration duties
  • Prepare new employee welcome packages, benefit packages, employee ID badges, and other employment-related documentation
  • Maintain and update HR forms as needed
  • Provide logistics for meetings
  • Generate HRIS reports and HR metrics as requested
  • Prepare offers of employment
  • Assist with various HR projects
Qualifications: 
  • 2 – 4 years in an administrative capacity
  • Advanced Microsoft Office knowledge, with advanced skills in Excel, Outlook and Word, and intermediate skills in PowerPoint
  • Experience using and editing a Sharepoint site an asset
  • Ability to exercise tact and discretion in dealing with confidential and sensitive information
  • Attention to detail and accuracy
  • Strong customer service, administrative, and organizational skills
  • Excellent verbal and written communication skills
  • Ability to multi-task and prioritize in a fast paced environment while maintaining professionalism and composure at all times
  • Experience in an HR department an asset
  • Experience using an HRIS system an asset
Shifts/Hours: 
  • 35 hours per week
